This page explains our privacy policy and how we will use and protect any information about you that you give to us or that we collate when you visit this website, apply for a job or enter into a contract of employment with Snap Services Ltd.

This privacy notice is intended to provide transparency regarding what personal data Snap Services may hold about you, how it will be processed and stored, how long it will be retained and who may have access to your data.

Personal data is any information relating to an identified or identifiable living person (the data subject). An identifiable person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number or factors specific to the physical, genetic or mental identity of that person, for example.

What we do

At Snap Services our main role is to provide a full design, installation and maintenance service in all aspects of air conditioning including split systems, VRF, air source heat pump, cold rooms, cellar cooling, refrigeration, chillers and more. We also work with approved contractors to provide all your electrical needs from lighting and power to PAT and fixed wiring testing.

What this privacy statement covers

This privacy statement only covers the processing of personal data by Snap Services that we have obtained from data subjects accessing Snap Services website and from its provision of services and exercise of functions.

When providing Snap Services with any of your personal data for the first time, for example, when you complete the contact form, when you apply for a job, you will be asked to confirm that you have read and accepted the terms of the relevant privacy statement. A copy of your acknowledgement will be retained for reference.

If our privacy policy changes in any way, we will place an updated version on this page. Regularly reviewing the page ensures you are always aware of what information we collect, how we use it and under what circumstances, if any, we will share it with other parties.

Why Snap Services collects your personal data

Personal data may be collected for the purposes of and in connection with the functions that Snap Services perform. This data could be collated via the recruitment process or during employment with Snap Services. The collection and processing of such data is necessary for the purposes of those functions.

In connection with job applications, Snap Services collects

  • Your name, address and contact details, including email address and telephone number;
  • Details of your qualifications, skills, experience and employment history;
  • Information about your current level of remuneration, including benefit entitlements;
  • Whether or not you have a disability for which we need to make reasonable adjustments during the recruitment process; and
  • Information about your entitlement to work in the UK.

We collect this information to be able to asses if you are suitable for role in which you are applying. More information on how we will collect and use this information can be found in the Job Applicant Privacy Statement, which will be provided to new applicants on receipt of their application/CV. In connection with employment, Snap Services collects:

  • Your name, address and contact details, including email address and telephone number;
  • Your next of kin details and contact information;
  • Details of your qualifications, skills, experience and employment history;
  • Details from your drivers licence and any relevant claims/losses relating to this;
  • Information needed for payroll, benefits and expenses purposes e.g. bank details;
  • Contract of employment and any amendments to this;
  • Correspondence with or about you, for example to your mortgage company confirming your salary
  • Records of holidays, sickness and other absence;
  • Information needed for equal opportunities monitoring;
  • Records relating to your career history, such as training records appraisals, other performance measures and, where appropriate disciplinary and grievance records.

As your employer, the Company needs to keep and process information about you for normal employment purposes. More information on how we collect and use this information can be found in the Employee Privacy Statement. This will be provided to potential new employees once they have been advised as being successful in obtaining the position.

Controlling your personal information

Under the General Data Protection Regulation (GDPR) and The Data Protection Act 2018 (DPA) you have a number of rights with regard to your personal data. You have the right to request from us access to and rectification or erasure of your personal data, the right to restrict processing, object to processing as well as in certain circumstances the right to data portability.

If you have provided consent for the processing of your data you have the right (in certain circumstances) to withdraw that consent at any time which will not affect the lawfulness of the processing before your consent was withdrawn.

You have the right to lodge a complaint to the Information Commissioners’ Office if you believe that we have not complied with the requirements of the GDPR or DPA 18 with regard to your personal data.

We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so. We may use your personal information to send you promotional information about third parties which we think you may find interesting if you tell us that you wish this to happen.

Snap Services as data controller

Snap Services is the data controller in respect of any personal data it holds concerning job applicants and individuals employed by Snap Services.

Legal basis for processing

The GDPR requires that data controllers and organisations that process personal data demonstrate compliance with its provisions. This involves publishing our basis for lawful processing.

As personal data is processed for the purposes of Snap Service’s statutory functions, Snap Service’s legal bases for the processing of personal data as listed in Article 6 of the GDPR are as follows:

  1. Consent: the individual has given clear consent for you to process their personal data for a specific purpose.
  2. Contract: the processing is necessary for a contract you have with the individual, or because they have asked you to take specific steps before entering into a contract.
  3. Legal obligation: the processing is necessary for you to comply with the law (not including contractual obligations).
  4. Vital interests: the processing is necessary to protect someone’s life.
  5. Public task: the processing is necessary for you to perform a task in the public interest or for your official functions, and the task or function has a clear basis in law.
  6. Legitimate interests: the processing is necessary for your legitimate interests or the legitimate interests of a third party unless there is a good reason to protect the individual’s personal data which overrides those legitimate interests. (This cannot apply if you are a public authority processing data to perform your official tasks.)

Where Snap Services processes special categories of personal data, its additional legal bases for processing such data as listed in Article 9 of the GDPR are as follows:

  • 9(2)(a) – Explicit consent of the data subject
  • 9(2)(b) – Processing is necessary for the purposes of carrying out the obligations and exercising specific rights of the controller or of the data subject in the field of employment and social security and social protection law
  • 9(2)(f) – Processing is necessary for the establishment, exercise or defence of legal claims or whenever courts are acting in their judicial capacity
  • 9(2)(g) – Processing is necessary for reasons of substantial public interest
  • 9(2)(h) – Processing is necessary for the purposes of occupational medicine, for the assessment of the working capacity of the employee, or the management of health and social care systems and services
  • 9(2)(j) – Processing is necessary for archiving purposes in the public interest, scientific or historical research purposes or statistical purposes

Special categories of personal data include data relating to racial or ethnic origin, political opinions, religious beliefs, sexual orientation and data concerning health.

Please note that not all of the above legal bases will apply for each type of processing activity that Snap Services may undertake. However, when processing any personal data for any particular purpose, one or more of the above legal bases will apply.

Transfers Abroad

The GDPR imposes restrictions on the transfer of personal data outside the European Union, to third countries or international organisations, in order to ensure that the level of protection of individuals afforded by the GDPR is not undermined.

How we protect your personal data

Our processing of all personal data complies with the General Data Protection Regulation principles.

The personal data we hold may be held as an electronic record on data systems managed by Snap Services or as a paper record. These records are only accessed, seen and used as required and/or permitted by law by staff who need access to personal data so they can do their jobs and other partner organisations under data sharing agreements.

We make every effort to keep your personal information accurate and up to date, but in some cases we are reliant on you as the data subject to notify us of any necessary changes to your personal data. If you tell us of any changes in your circumstances, we can update the records with personal data you choose to share with us.

We will keep personal data for no longer than necessary, in line with our retention policy.

Sharing personal data

So we can provide the right services at the right level, we may share your personal data within services across Snap Services and with other third party organisations such as Safe Contractor, Constructionline, Refcom, insurance companies (in relation to van insurance) where necessary, to provide the best possible service to our customers. This will be on a legitimate need to know basis only.

We may also share information, where necessary, to prevent, detect or assist in the investigation of fraud or criminal activity, to assist in the administration of justice, for the purposes of seeking legal advice or exercising or defending legal rights or as otherwise required by the law.

Where the data is used for analysis and publication by a recipient or third party, any publication will be on an anonymous basis, and will not make it possible to identify any individual. This will mean that the data ceases to become personal data.

Open Data

Snap Services policy is to observe the Cabinet Office transparency and accountability commitments towards more open use of public data in line with relevant and applicable UK and European legislation. Snap Services would never share personal data through the Open Data facility. To this end, Snap Services will implement Information Governance protocols that reflect Information Commissioner’s Office recommended best practice for record anonymisation, and Office of National Statistics guidance on publication of statistical information.

Your rights

Right to rectification and erasure

The GDPR extends and strengthens your rights as a data subject. Under the GDPR you have the right to rectification of inaccurate personal data and the right to request the erasure of your personal data. However, the right to erasure is not an absolute right and it may be that it is necessary for Snap Services to continue to process your personal data for a number of lawful and legitimate reasons.

Right to object

You have the right in certain circumstances to ask Snap Services to stop processing your personal data in relation to any Snap Services service. However, the right to object is not an absolute right and it may be that it is necessary in certain circumstances for Snap Services to continue to process your personal data for a number of lawful and legitimate reasons.

If you object to the way in which Snap Services is processing your personal information or if you wish to ask Snap Services to stop processing your personal data, please contact the Office Manager. However, if we do stop processing personal data about you, this may prevent Snap Services from providing the best possible service to you.

Subject Access

You can access a copy of the information Snap Services holds about you by writing to Snap Services Office Manager. This information is generally available to you free of charge subject to the receipt of appropriate identification.

Data Portability

The GDPR sets out the right for a data subject to have their personal data ported from one controller to another on request in certain circumstances. You should discuss any request for this with your local office.

All communications from Snap Services will normally be by email. It is therefore essential for you to maintain an effective and secure email address or you may not receive information or other important news and information about your employment or training.
